Exhibit Hall Hours

• Sunday, March 1: 2:30 - 3:45 PM and 5:30 - 7:00 PM
• Monday, March 2: 10:00 - 11:30 AM and 1:30 - 4:00 PM
• Tuesday, March 3: 10:00 - 11:30 AM and 1:30 - 4:00 PM

The Exhibit Hall provides

• A single venue to network with community college and industry leaders;
• A place to meet face-to-face with qualified buyers and generate leads;
• An opportunity to showcase products and services and launch new wares; and
• Special events that generate high traffic volume, including an evening reception, five coffee and refreshment breaks, poster sessions, and meet-ups in the hall.

Presentation Submission Criteria

In order to present at the Innovations Conference, you must

1. be employed by a community college or not-for-profit university, or
2. be a sponsor* at this event.

*Sponsor proposals must include at least one community college co-presenter to speak to the success of your partnership.

Conference App

The League’s event app* provides all the information participants, exhibitors, and sponsors need for a rewarding conference experience. Exhibitors' company logos, descriptions, and booth numbers will be featured on the app to allow for maximum exposure.

*The conference app replaces the printed conference program-guide to the Exhibit Hall. A downloadable PDF of the schedule will be available on the website for those who prefer a hard copy.

What is the Exhibit Hall schedule?

How can my company exhibit at Innovations 2020?

What is the cost to exhibit at Innovations 2020?

What is included in a standard booth package?

The standard package includes a booth with standard pipe, drape, and side rails (8’ high back drape; 3' high side drapes). Also included is a 6' skirted table, 2 chairs, a wastebasket, and a 7" wide x 44" long identification sign (one line with exhibitor’s name in black block letters on a white background). Additional furniture is available for a fee from Alliance Nationwide Exposition (see below), the League's drayage/decorating company. The Exhibit Hall is carpeted.

How many registrations are included with my booth purchase?

Exhibitors receive two (2) full registrations. Additional registrations may be purchased for $950 through the Exhibitor/Sponsor Form.

How do I register my booth staff?

Company representatives who plan to act as booth personnel and/or attend any sessions at the conference must be registered for the conference. You can do this through the Exhibitor/Sponsor Form. For instructions on how to access this form, contact Event Producers.

How do I order Internet access for the Exhibit Hall?

Exhibit Hall Internet access may be purchased through the Exhibitor/Sponsor Form. Wireless Internet service in the Exhibit Hall is free for Champion and Advocate Level sponsors and $250 for exhibitors and Supporter Level sponsors. How will my exhibiting company be featured in the conference app?

Returning this year, a comprehensive and interactive conference app will replace the hard copy event program/guide to the Exhibit hall. In order to appear in the conference app, the following must be submitted via the Exhibitor/Sponsor Form by February 11, 2020: company contact information, company description, and company logo.

When will the exhibitor service kit be available? 

The exhibitor service kit will be sent to you in late fall. It will also be made available through your Exhibitor/Sponsor Form.

Can I send shipments to the advanced warehouse?

Yes. Please refer to your exhibitor service kit for instructions.

What other exhibitors will be participating at Innovations 2020?

Who do I contact to order food and beverages for my booth?

Contact Robin Piccirilli to order food and beverages for your booth. Exhibitors are responsible for the cost of food and beverages ordered for their booths.

Are there opportunities to advertise or sponsor conference activities?

How do I block hotel rooms for my company?

The League has arranged a discounted rate of $199* per night (single/double) at the Hyatt Regency Seattle for Innovations 2020 participants, exhibitors, and sponsors. The cut-off date for accepting reservations into the conference block is February 6. All conference sessions will be held at the Hyatt Regency Seattle.

*Room rates are subject to applicable state and local taxes, a per-night tourism fee, and hotel-specific fees in effect at the time of the event.

WARNING: DO NOT BOOK A HOTEL ROOM with companies such as Convention Expo Travel or Convention Housing Services. These companies are contacting conference participants directly and advising that they officially represent the conference. These companies are IN NO WAY affiliated with the Innovations Conference or the League for Innovation. The League is not responsible for reservations made with these companies.

Can my company hold a meeting during the conference?

There is no cost for ancillary meeting space for Strategic Partners, sponsors, and exhibitors. The cost of food, beverages, and AV equipment is the partner, sponsor, or exhibitor's responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis. Organizations can reserve ancillary meeting space at the conference by contacting Robin Piccirilli.

Is security provided in the Exhibit Hall?

Loading dock security personnel are provided during load-in and load-out hours. Security personnel are stationed within the Exhibit Hall when the hall is closed. Badge checkers for the Exhibit Hall are stationed at the front doors during Exhibit Hall open hours. This level of security is intended to control the access of people and material to and from the Exhibit Hall in a safe and organized manner. It is not intended as individual security for your booth and materials. Please remember that the hotel is a public building to which hundreds of individuals have access. Do not leave items of value in your booth overnight, during the load-in and load-out periods, or on exhibit days without taking security precautions. Exhibitors can order overnight booth security from the security vendor.

Are lead retrieval scanners available at the conference?

Lead retrieval scanners have been replaced with access to participant information through the conference app before, during, and after Innovations 2020. Your leads will be downloadable.

How do I locate my booth materials upon arriving at the conference?

Exhibitors must first check in at the Conference Registration Desk upon arrival to pick up conference badges; badges with Exhibitor ribbons are required in order for exhibitors to enter the hall while it is closed to participants. The League's decorator, Alliance Nationwide Exposition, handles exhibitors’ shipping needs. Freight shipped to Alliance will be placed in exhibit booths by them on load-in days. It is highly recommended that exhibitors have their tracking number available to help identify the location of any missing materials.

Can I deliver exhibit materials to the hotel myself?

No. All shipments must go to the advanced warehouse.

Can I carry exhibit materials into the hotel and to my booth?

Yes, but the local union claims jurisdiction on the operation of all material handling equipment, unloading and reloading, and handling of empty containers. An exhibitor may move the material that can be carried by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment.

Is a booth upgrade available?

Strategic Partners receive their choice of one 10x10 booth free of charge. Exhibitors may choose from the booth sizes and prices outlined on the Exhibitor Opportunities tab (see above).

Can I bring my family or a guest to the conference?

Only registered participants can attend conference activities. Children under the age of 18 are not permitted at the conference.

Make the Most of Your Exhibition Experience at Innovations 2020

Peer-to-peer selling is a formula that works well at the League’s Innovations Conference.

Choose the exhibit booth that most effectively meets your marketing needs and budgetary requirements. The Exhibit Hall is split into quadrants by conference theme: teaching and learning, leadership and organization, workforce preparation and development, and student success. Don’t forget to align your booth location with the conference theme that makes it easy for participants to find you!

Make sure team members assigned to your booth are (1) registered for this event and (2) well trained to represent your company, generate leads, and secure sales. Ensure that everyone involved fully understands what needs to be accomplished during the conference.

Consider contacting conference participants using the conference app. Invite participants to your exhibit booth to meet up one-on-one.

Create energy and increase booth traffic by giving away a high-end prize (e.g., iPad, digital camera) and promote it using the conference app. Select promotional products and giveaways that complement your company image.

Host a reception for current and potential customers. Hand out invitations at your booth, or invite participants using the conference app. There is no cost for ancillary meeting space for Strategic Partners, sponsors, and exhibitors. Set-up fees, catering, and AV fees are the partner or exhibitor’s responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis.

Use online and social marketing opportunities such as webinars, blogs, online videos, Twitter, and Facebook to complement traditional marketing methods before, during, and after the conference.

Send a personalized, handwritten note, along with a customized company information packet or other appropriate material, to booth visitors within a week following the conference to help turn leads into sales.
